The Victoria Choral Society is committed to respecting your right to privacy, particularly with regards to personal information such as name, address, telephone number, and email address.
Collection of Personal Information – Members and Employees
The VCS requires members and employees to give contact information, specifically name, address, and telephone number. Members may choose to have their email address added to the VCS reminder email list and may request that their email be removed from this list at any time.
Access to Personal Information – Members and Employees
Personal information is stored in our membership database. This database is updated by the Membership Secretary, and the full database is accessible only by the President, Treasurer, Membership Secretary, Music Director, and the volunteers who help with the music library and music folders. Contact information for each section is given to each section leader for purposes of taking attendance and reminders of sectionals, cancellation of rehearsals, and other such notices.
VCS members’ names will be listed in concert programmes, unless a member specifically requests his/her name not be included in the listing. The names and biographies of our conductor, pianist, guest soloists, and/or instrumentalists will also be included in the programme. The name and biography of our current conductor and possibly past conductors will be listed on our website.
The VCS does not sell, lend, or exchange any member information with any other organization.
Donors
The VCS may publish the names of donors in our concert programmes after consulting with our donors’ wishes.
Concert Attendees
The VCS collects personal information from concert attendees only with their consent and with the primary purpose to promote future concerts. We may also use our contact lists to ask for your support for our upcoming events.
Audition Records
The information collected during auditions is kept confidential by the Music Director. This information is retained by the Music Director until the next set of auditions is completed, and then destroyed by shredding.
Privacy Officer
The Membership Secretary has been appointed Privacy officer by the executive to oversee our privacy policy and ensure that the VCS complies with this policy. Concerns with the policy and/or requests to change, update, or remove any information from our records should be directed to the current Membership Secretary.
